Position Summary

The Division Head – Administration & Industrial Relations is responsible for leading all administrative, industrial relations, and workforce management functions across the manufacturing division. The role ensures a safe, compliant, and productive working environment by fostering positive employee relations, maintaining effective engagement with labour representatives, ensuring statutory compliance, and overseeing all administrative support services.

The incumbent will serve as the organization's focal point for industrial harmony, labour law compliance, grievance resolution, union negotiations, and workforce discipline while driving operational excellence in administration across multiple manufacturing sites.


Key Responsibilities

Industrial Relations & Employee Relations

  • Develop and implement the organization's Industrial Relations strategy aligned with business objectives.
  • Build and maintain constructive relationships with labour unions, workers' representatives, and employee committees.
  • Lead collective bargaining negotiations and administer Collective Bargaining Agreements (CBAs).
  • Resolve industrial disputes, grievances, disciplinary matters, and employee complaints in accordance with company policies and labour laws.
  • Promote a culture of trust, employee engagement, and industrial harmony across all manufacturing facilities.
  • Advise senior management on industrial relations risks and recommend proactive mitigation strategies.
  • Represent the organization before labour courts, labour departments, conciliators, and other regulatory authorities as required.

Workers Management

  • Oversee workforce administration for permanent, contractual, and outsourced employees.
  • Monitor workforce deployment to ensure operational efficiency and manpower optimisation.
  • Develop policies governing worker discipline, attendance, leave management, and code of conduct.
  • Ensure consistent implementation of disciplinary procedures and domestic inquiries.
  • Lead worker engagement initiatives to improve morale, productivity, and retention.
  • Monitor labour productivity indicators and recommend improvement initiatives.

Administration

  • Lead all administrative operations across manufacturing facilities.
  • Oversee transport, accommodation, housekeeping, cafeteria, office management, security coordination, and facility administration.
  • Ensure smooth functioning of administrative services supporting manufacturing operations.
  • Manage contracts and performance of outsourced administrative service providers.
  • Develop and monitor departmental budgets while ensuring cost optimisation.

Compliance & Governance

  • Ensure full compliance with applicable labour laws, employment regulations, factory regulations, and company policies.
  • Maintain statutory records, documentation, and regulatory reporting requirements.
  • Lead internal and external compliance audits relating to labour and administration.
  • Develop and implement policies, SOPs, and governance frameworks for Administration and Industrial Relations.
  • Ensure compliance with health, safety, and environmental requirements in collaboration with HSE teams.

Stakeholder Management

  • Collaborate with Manufacturing, HR, Legal, Security, Finance, and HSE teams to resolve operational challenges.
  • Build effective relationships with government authorities, labour departments, social security institutions, and regulatory bodies.
  • Act as the primary escalation point for complex industrial relations matters.

Leadership & People Development

  • Lead, mentor, and develop Administration and Industrial Relations teams across multiple sites.
  • Establish performance objectives and monitor departmental KPIs.
  • Build organisational capability through coaching and succession planning.
  • Foster a culture of accountability, collaboration, and continuous improvement.
