Job Purpose

To coordinate and manage export operations, ensuring timely processing of export orders, preparation of shipping documentation, compliance with international trade regulations, and effective communication with customers, freight forwarders, shipping lines, and internal departments.

Key Responsibilities

Export Operations

  • Coordinate end-to-end export shipment activities from order receipt to delivery.
  • Monitor export order status and ensure timely execution of shipments.
  • Liaise with freight forwarders, shipping lines, customs agents, and transport providers.
  • Arrange bookings with shipping lines and coordinate container movements.

Documentation & Compliance

  • Prepare and verify export documentation including:
    • Commercial Invoices
    • Packing Lists
    • Certificates of Origin
    • Bills of Lading
    • Export Forms and Declarations
    • Letters of Credit (where applicable)
  • Ensure compliance with customs regulations, trade laws, and company policies.
  • Maintain accurate records of all export transactions and shipment documentation.

Customer & Stakeholder Coordination

  • Serve as the primary point of contact for export customers regarding shipment schedules and documentation.
  • Coordinate with Sales, Production, Finance, and Logistics teams to ensure order fulfillment.
  • Address shipment delays, documentation discrepancies, and customer inquiries promptly.

Reporting & Administration

  • Track shipment status and provide regular updates to management and customers.
  • Prepare export performance reports and shipment summaries.
  • Maintain export databases and filing systems.
  • Monitor freight costs and assist in cost optimization initiatives.
